HOW TO ACCESS THE TENANT PORTAL

 

Access the Tenant Portal via:

http://smtenants.com (for Tenant access)

http://smtenants.com/managers/sso (for approved SM employees access, using active directory)

1.      Enter Username and Password.

2.      Click Log in

                       

Initial Login

On initial Login, following has to be performed:

·         Accept Terms and Conditions

·         Change initial Password

·         Update Contact Information. Provide at least one valid email address for account verification.

 

 

Email Account Verification

Upon updating Contact Information on Initial login, Tenant will receive an email for account verification. User has to click or visit the link provided in the email to verify the email account. Only verified email account will be able to view Files (SOA and OR) inside the Tenant Portal.

 

Locked Account

User account will be temporily locked after 3rd unsuccessful tries.

Temporary locked account may re-login to the Tenant Portal after 15 minutes.

 

Forgot Password

For Forgotten Password or Permanently Locked Account, user has to click on the Forgot Password link in the Login Page, and provide the following information:

·         Customer Account

·         Branch

·         Location

·         Email Address (has to be one of the registered email addresses in the account profile)

 

Entered email address will receive an email instruction on how to set new password.

 

Terminated Account 

Terminated Account will not be able to login to the Tenant Portal after the specified Validity Date.

 

 

 

HOW TO USE THE TENANT PORTAL

VIEW Statement of Account (SOA)

1.      Login in to the Tenant Portal.

2.      Upon login, Statement of Account tab will be selected showing SOA listing within the last 24 month period.                   

 

Under View column:

·         Click PDF icon to view SOA in PDF view.

·         Click Excel icon to view SOA in Excel view.

 

Under Download column:

·         Click PDF icon to view SOA in PDF view.

·         Click Excel icon to view SOA in Excel view.

 

 

Page setup for IE before printing 

1.      In IE, go to file menu and select page setup

2.      Page setup; apply these settings;

a.      Page size : letter

b.     Potrait

c.     Uncheck Print background and Enable shrink to fit

d.    Margins at 0.5., you may change this if needed.

e.     Headers and footers select "Empty"

2.      Click OK button, to save you may now print OR/CM.

 

 

How to print OR (original copy) 

1.      Access Tenant Portal URL

2.      Login using a valid Tenant username and password

3.      Click Official Receipt tab

4.      In View column, click PDF icon to preview the file

5.      In Print preview window, click on printer icon located on the upper right side

6.      A pop-up message box will appear “This is a ONE-TIME PRINT. In case of print failure, please contact branch Treasury for REPRINT request.

7.      Click OK button to close pop-up message box

8.      In print dialog click print button.

9.      Back in Official Receipt tab

10.  In original copy column, the status displays "Printed".

 

 

How to print OR (reprint) 

1.      Access Tenant Portal URL

2.      Login using a valid Tenant username and password

3.      Click Official Receipt tab

4.      In Reprinted column, the status displays "Y", this means branch Treasury has reuploaded the file and may now be reprinted.

5.      In View column, click PDF icon to preview the file

6.      In Print preview window, click on printer icon located on the upper right side

7.      In print dialog click print button. Reprint have unlimited print function.

 

 

How to print CM (original copy) 

1.      Access Tenant Portal URL

2.      Login using a valid Tenant username and password

3.      Click Credit Memo tab

4.      In View column, click PDF icon to preview the file

5.      In Print preview window, click on printer icon located on the upper right side

6.      A pop-up message box will appear “This is a ONE-TIME PRINT. In case of print failure, please contact branch Treasury for REPRINT request.

7.      Click OK button to close pop-up message box

8.      In print dialog click print button.

9.      Back in Credit Memo tab

10.  In original copy column, the status displays "Printed".

Archive

1.      Login in to the Tenant Portal.

2.      Upon login, Statement of Account tab will be selected.

3.      Click Archive tab,to view SOA and OR listing within 25 to 36 month period.

4.       Click My Statement of Account to view Archived Statement of Accounts.

 

Under View column:

·         Click PDF icon to view SOA in PDF view.

·         Click Excel icon to view SOA in Excel view.

 

Under Download column:

·         Click PDF icon to view SOA in PDF view.

·         Click Excel icon to view SOA in Excel view.

 

5.       Click My Official Receipt  to view Archived Official Receipts.

 

Under View column

·         Click PDF icon to view SOA in PDF view.

 

Under Download column

·         Click PDF icon to view SOA in PDF view.

 

 

 

How to use PDF CM Completeness Check report

1.      Access Tenant Portal URL

2.      Login using a valid Accounting manager username and password

3.      Click Reports tab

4.      Click CM Completeness check

5.      Click inside From and To fields, date picker is shown, select a valid date range.

       Optional seach fields;

a.     Customer number

b.     Customer name

c.     Branch

d.     Location

6.      Click Search button.  Results are shown.

7.      Click Reset button to clear search fields.

8.      Click XLS button to export results in MS Excel file.

 

 

How to use OR Tenant view and print log report

1.      Access Tenant Portal URL

2.      Login using a valid Accounting manager username and password

3.      Click Reports tab

4.      Click OR view and print/reprint logs report

5.      Click inside From and To fields, date picker is shown, select a valid date range.

a.     Customer account

b.     Customer name

c.     Branch

d.     Location

6.      Click Search button.  Results are shown.

How to use CM Tenant view and print log report

1.      Access Tenant Portal URL

2.      Login using a valid Accounting manager username and password

HOW TO MANAGE MY ACCOUNT

My Account section allows management of Account Information and Access Delegation.

 

ACCOUNT INFORMATION

1.      Login in to the Tenant Portal.

2.      Click My Account

3.      Account Information tab will open where Contact Information and Password can be updated.

 

How to update Contact Information:

1.      At least one (1) contact information with valid email address must be specified.

2.      Enter characters as shown in the picture (Captcha).

3.      Click Confirm.

 

How to update Password:

1.      Enter Current Password.

2.      Enter new password in Password field.

3.      Re-enter new password in Confirm Password field.

4.      Enter characters as shown in the picture (Captcha).

5.      Click Confirm.

 

 

ACCESS DELEGATION

Access Delegation allows access to Statement Of Account and Official Receipt to the specified Branch-Location of the same account.

 

How to Delegate Access:

1.      Login in to the Tenant Portal.

2.      Click My Account, select Access Delegation.

3.      Select Branch and Location of Account to delegate access with.

4.      Enter characters as shown in the picture (Captcha).

5.      Click Confirm.

 

Email notification will be sent to the selected Branch-Location.

Upon Approval of the delegated access, Branch-Location will be listed under Current Delegates.

 

 

How to Revoke Delegated Access: 

1.      Login in to the Tenant Portal.

2.      Click My Account, select Access Delegation.

3.      Under Current Delegates, click Revoke next to the account to revoke.

4.      Selected account will be removed from the Current Delegates list.

 

How to Approve Delegated Access:

1.      Login in to the Tenant Portal.

2.      Click My Account, select Access Delegation.

3.      Select Pending Delegators to list all access delegation pending for approval.

4.      Click Approve next to the account to approve.

5.      Selected account will be removed from the Pending Delegators list and will be added under Approved Delegators list.

 

How to view SOA of Delegated Access:

1.      Login in to the Tenant Portal.

2.      Upon login, SOA listing screen including SOA of delegated access will be displayed.

3.      Click Branch-Location of the account to view SOA of delegated access.

 

How to view OR of Delegated Access:

1.      Login in to the Tenant Portal.

2.      Upon login, SOA listing screen will be displayed.

3.      Click Official Receipt tab to display own OR including OR of delegated accounts.

4.      Click Branch-Location of the account to view OR of delegated access.
